About the Role

We are looking for a highly organized, resourceful, and proactive Staff Manager to the CEO to serve as a strategic operational partner. This role is a unique hybrid: you will lead the CEO’s executive operations while driving a structured PMO discipline across the organization. The ideal candidate is a 'force multiplier'—someone who thrives in fast-paced, high-growth environments and can seamlessly pivot from managing complex calendars to tracking technical project dependencies.


Key Responsibilities

1. CEO Executive Operations

  • Calendar & Priority Management: Orchestrate the CEO’s schedule, ensuring time is aligned with the company’s highest priorities.
  • Communication Flow: Manage email triage, draft briefing notes, and handle internal/external correspondence.
  • Briefing & Research: Conduct light research and compile summaries, dashboards, or updates to prepare the CEO for key engagements.
  • Operational Extension: Coordinate travel and logistics, manage expenses, and ensure the CEO’s workflow is friction-free.
  • Linguistic Support: Act as a bridge for communication, providing translation and support in Ukrainian/Russian and English as required.

2. PMO & Project Coordination (Reporting to CSO)

  • Project Governance: Support the PMO in maintaining project plans, timelines, and delivery trackers.
  • Risk Management: Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) to ensure project health.
  • Reporting: Prepare weekly/monthly PMO dashboards, KPI summaries, and leadership reports.
  • Cadence Management: Coordinate standups, sprint reviews, and steering committee meetings.
  • Accountability: Track action items across squads, ensuring deadlines are met and escalating blockers to leadership proactively.


Skills & Qualifications 


Required:

  • Multilingual Mastery: Absolute fluency in English, Ukrainian OR Russian.
  • Operational Excellence: Proven experience in project coordination and high-level executive support.
  • Tech-Savvy: High proficiency in Google Workspace, Notion, Slack, and PM tools (Asana, Jira, or Trello).
  • High EQ: The ability to navigate cross-functional teams (Product, Engineering, Operations) with professionalism and discretion.
  • Detail-Oriented: A "zero-mistake" mindset regarding documentation and confidentiality.

Preferred:

  • Experience in Tech, Fintech, or Startup environments.
  • Experience supporting a Founder or C-level executive.
  • Background in PMO, Business Ops, or Product Ops.
  • Regulatory Knowledge: Understanding of payments regulation (SEPA/SWIFT, card schemes), digital asset laws, and licensing procedures in key jurisdictions.
